Privacy Notice
This notice explains how Node9 Consulting Ltd collects, uses and protects your personal information, and the choices you have.
It is a plain-language summary — please contact us if you have any questions.
Who we are
Node9 Consulting Ltd (Company No. 16747973), registered in England & Wales, is the data controller for the information described here. You can reach us at sales@node9.co.uk.
Where we collect information from
- The contact form. Your name, company name, email address and the message you send, so we can respond to your enquiry.
- Julie conversations. The questions you type to our assistant Julie, used to answer you and improve the help we provide. If you give Julie your name and email address and agree to us getting in touch, we keep those too — see “Information we keep when you make an enquiry” below.
- Discovery Call & Discovery Day enquiries. Details you share when you ask to book or discuss a Discovery Call or Discovery Day.
- Website analytics. With your consent, Google Analytics tells us how visitors find and use the site (see our Cookie Policy).
- Marketing communications. Where applicable, your details if you ask to receive updates from us — you can opt out at any time.
How we use your information
We use the information you provide to respond to your enquiry, to arrange and deliver our services, and to improve our website. Our lawful bases are your consent, our legitimate interest in running and improving our business, and taking steps to enter into a contract with you.
We do not sell your personal information.
Sharing and third parties
We only share information with the service providers that help us run Node9 — for example our email, analytics and AI providers — and only as needed to provide the service to you. These providers process data on our behalf under appropriate agreements.
How long we keep it
We keep enquiry and contact information only for as long as we need it to respond to you and meet our legal and business obligations, then delete it.
Your rights
You have the right to access the personal information we hold about you, to ask us to correct or delete it, and to object to or restrict how we use it. To exercise any of these rights, email sales@node9.co.uk.
If you have a concern you can also contact the Information Commissioner’s Office (ICO) at ico.org.uk.
Information we keep when you make an enquiry
- Your enquiry. Your name, email address, phone number if you give one, the company you work for, and what you told us you need help with.
- Growth Assessment conversations. If you complete an assessment with Jack, we keep the conversation along with the contact details you shared at the end, so Toby can review it and prepare your report.
- Julie conversations. If you give Julie your name and email address and tell her you are happy to be contacted, we keep those details along with the conversation, so Toby can pick it up and reply properly. If you do not agree to being contacted, we keep the conversation to improve the help we provide, but it does not become a contact record.
- Our record of working with you. Notes from calls and meetings, and a record of emails we exchange, so we can pick up where we left off rather than asking you the same things twice.
- Where you came from. Whether you found us through the website, an assessment, or a post we published. This helps us understand what is genuinely useful to people.
Email correspondence
When we email you, we do it from our normal Microsoft 365 mailbox — the same one Toby uses day to day. Our system shows the subject line and date of emails exchanged with you so we can see the history at a glance.
The content of those emails stays in our mailbox. We do not copy the body of your messages into a separate system.
How long we keep enquiry information
If an enquiry does not lead to us working together, we keep it for up to 24 months and then delete it. That gives us enough time to recognise you if you come back to us later, without holding on to information indefinitely.
Where we do work together, we keep our records for as long as we are working with you and for 6 years afterwards, which is the period we are required to keep business records for.
Your choices about marketing
We only send you marketing if you have told us you want it. We keep a record of whether you were asked and what you said — and if you were never asked, we treat that as a no.
You can tell us to stop at any time by emailing sales@node9.co.uk, and we will act on it straight away.
Asking us to delete your information
Email sales@node9.co.uk and ask. We will remove your contact record and the history attached to it.
We may keep a minimal record that an enquiry happened, with your personal details removed, where we need it for our own accounts. We will tell you if that applies to you.
